Table Spaces Policy

Policy Scope

To define the terms of use of the Table Spaces at the J. Willard Marriott Library.

Definitions

  1. Table Space – A single table and two chairs at either the level 1 or level 3 entrance for use by University students, staff, faculty and University or library sponsored groups. Or a double table and four chairs in the level 2 elevator lobby for use by Library Marketing & Public Relations.
  2. Billable Chartfield – the complete list of codes for the department within the University requesting use of the table space that is active and can be billed for the cost of the reservation.

II. Policy

  1. Individuals affiliated with the University or sponsored by the University can request to use the level 1 or level 3 lobby table space. Groups or individuals outside the University of Utah cannot schedule table space.
  2. Library Marketing & Public Relations can reserve the level 2 elevator lobby table space for library related marketing. 
  3. A billable chartfield must be provided by external requestors before a reservation can be confirmed. The library reserves the right to cancel use of the space if a chartfield cannot be provided prior to the scheduled time.
  4. To request the use of a table space a Table Space Request must be submitted.
  5. Buying or selling of goods or services, panhandling, and soliciting donations of any kind is not allowed in the library as outlined in Patron Policies & Responsibilities.
  6. Giving out baked, home cooked, or prepared food is prohibited as outlined in the University Food Handling Guide.
  7. Passing petitions, conducting surveys, distributing pamphlets or other materials directly or indirectly to library patrons or staff is permitted at the table space during your reservation if approved by the library and the University and represents an academic or University purpose as outlined in University Policy 1-007.
  8. Decorations or modifications to the table space should be limited to temporary decorations that do not require mounting objects from the ceiling or walls using implements or adhesives, including tape. 3M command products are permitted but are not provided by the library.
  9. There must be an individual present at the table provided for length of the reservation, no exhibitions may be left on the table unattended. 
  10. External table space requests must be reserved a minimum of 48 hours in advance.
  11. Music is not permitted in the table space. 
  12. Library entrances, exits, corridors, hallways, and stairwells must be kept unobstructed at all times. Occupancy limits must be observed and enforced.
  13. Those tabling should not harass or aggressively approach library patrons and may only approach library patrons in the designated table space area
  14. Tables and chairs provided by the library may not be moved to a different location, including outdoors. The Office of the Registrar – Academic & Event Scheduling is responsible for outdoor reservations.
  15. Failure to abide by any of these policies may result in loss of table space use and/or expulsion from the library. 
  16. If the event is canceled less than 24 hours before the scheduled time, it will result in a full charge of $50.
