Epson Printer & Scanner Instructions
To Use The Epson
The Epson printer and scanner are connected to the PC nearest the printer and scanner.
-
Schedule use of the Epson printer
- If you are using the printer for the first time, be sure that your scheduled time works for your class instructor so that you can be trained to use the printer independently. Use of the scanner does not require initial training.
- Uncover the printer and power it on (it needs time to warm up).
- Log on the PC by the Epson printer using your university login (uNID) and CIS password. If you are using Adobe Creative Cloud programs, also log into Creative Cloud.
- Bring your files on a USB drive, have the saved to a cloud-based storage space (such as Ubox), or email them to yourself. The computer tower with USB slots is next to the wall and has a "Star West" sticker on the front.
- Print! If issues arise that you can’t troubleshoot, ask the monitor if knowledgeable faculty or staff members are available. If no advisement is available and you can’t fix the issue, stop printing and make an appointment with your instructor and through the Epson scheduling system.
- During your first session with your faculty member, you will learn how to use the LFP software to view your costs. Use a Print Sales Form to make note of the cost of each print job, rounding each job up to the nearest quarter dollar. Tally the total costs of the print jobs and bring your prints and Print Sales Form to the monitor to match the number of listed print jobs with the number of physical prints.
- Payment must be made before you leave the studio with your prints.
- Log out of the Creative Cloud and off the computer. Shut down the printer and replace the cover.
- Clean up space by recycling any proofs or notes.
Paying for Prints
- Open LFP Accounting Tool. In the LFP Accounting Tool window:
- Double click on the job name in the list to find the total ink charge.
- Click "Refresh Data" if job is not yet visible.
- If the job does not show up, unplug the printer cord and plug back in again.
- If the data still does not refresh, while remaining in the LFP Accounting software, click the "Add Printer" button. A dialog box will appear with a printer list; select the P-6000 Series, then click the "Set Acquiring Target" box. Click OK. Now click on "Refresh Data."
- If there are multiple jobs, tally up the totals from each job.
- Close the LFP Accounting Software window during printing.
- Fill out a Print Sales form: tally the total cost on the form under "Epson Printing" "Actual Ink Cost." Please round all print jobs to the nearest quarter dollar to cover maintenance boxes and service costs.
Monitor
Verify that the total number of print jobs, including completed but erroneous prints, matches the listed number of print jobs on the Print Sales Form. Remember that each print job is rounded to the nearest quarter dollar.
Printer Settings
It is recommended that you always print from the native file (Illustrator, In Design, Photoshop, etc.) While the Epson is capable of printing from a .pdf, you will have more control when you print from the native file. If fonts are an issue, please outline fonts before transferring your file to the PC and/or consider packaging the file to ensure links and fonts are included.

Troubleshooting & Maintenance
Canceling a Print Job
- To cancel a job, push the pause/trash button on the printer to the left of the screen. Follow the prompts to ensure the job is fully canceled or to resume a paused job.
Switching Blacks
- Switching between Photo Black (PK) and Matte Black (MK) is important for achieving best results on different types of paper. Photo Black works best on glossy and luster papers as well as Pictorico. Matte Black works well for matte and fine art papers. Switch black inks only when prompted by the printer.
- Push the upper left button on the printer.
- Wait for the machine to reset with the correct black (may take 5+ minutes).
Resolving Streaky Prints
- If your printout is streaky, start troubleshooting by running provided proof paper through the printer until the streaks clear.
Nozzle Check
- Trained student users, monitors, faculty, and staff may run a nozzle check to verify that the print head nozzles are clean and functioning correctly. Examine the printed pattern for gaps, breaks, and/or missing lines to determine if nozzles are clogged.
- Clogged nozzles may result in faint images and/or missing areas in final prints. Running a nozzle check helps pinpoint which colors may be clogged and avoids wasting ink, paper, time, and money on poor-quality prints. Regular nozzle checks ensures that the print heads are in good working order.
- To run a nozzle check:
- The printer will prompt a nozzle check. If prints are streaky, faint, and/or missing areas of ink coverage, nozzle checks can be run manually. Follow the prompts on the printer’s screen:
- Click the right arrow on the printer, select “Maintenance,” then “Nozzle Check,” then OK.
- Load the provided proofing paper and, when prompted, select the correct paper profile (singleweight matte). Reuse proofing paper. A sheet can be used four times—top and bottom of front and back—and the test pattern will print on the front-facing side of the feed edge.
- Once printed, check for gaps and missing segments in the printout. Determine if a Head Cleaning is necessary.
- The printer will prompt a nozzle check. If prints are streaky, faint, and/or missing areas of ink coverage, nozzle checks can be run manually. Follow the prompts on the printer’s screen:
Head Cleaning
- After running a nozzle check, trained student users, monitors, faculty, and staff may find that print heads need to be cleaned in order to unclog the ink nozzles on the print head.
- If prints are faint, blurry, or when the nozzle check shows gaps in ink coverage, it’s possible that the print heads need cleaning. Head cleaning uses fresh ink to clear dried ink from print nozzles to ensure proper ink coverage on printouts.
- To clean the print heads:
- After a nozzle check, the printer will prompt the user to Exit or run a Head Cleaning. If Head Cleaning is selected, the printer will prompt the user to select individual heads for cleaning. Only choose those heads that showed missing segments on the nozzle check to avoid wasting ink. Select print heads by scrolling the list with the up/down arrows on the printer keypad and pushing the central ok button on the heads in need of cleaning. If all heads need cleaning, select all. Click the right arrow key to proceed.
- Select “Normal” or “Heavy,” depending on how many gaps and missing segments were observed in the nozzle check test pattern. Click OK (done) to initiate the cleaning process. A head cleaning will take at least 5 minutes to run.
- When the head cleaning is complete, the user may click “Exit” or toggle to “Nozzle Check.” Run another nozzle check to ensure segments are no longer missing (see “Nozzle Check” procedure above). If most ink gaps are gone, try printing again. If issues with the printout still exist, heavy head cleaning may be necessary. Heavy cleaning should be used minimally. If gaps or other print issues still occur after a heavy cleaning, contact your faculty instructor.
Ink Cartridge Replacement
- Ink cartridges only need to be replaced when prompted by the printer.
- Click the bottom left button on the printer. When prompted, select the ink cover to open (left, right, or both) and the ink cover will pop open.
- Select the ink color(s) to replace. Push the cartridge(s) inward and release to pop the cartridge out. Pull the cartridge to slide it all the way out.
- Ask the monitor for a replacement cartridge. Remove the cartridge from the box and the plastic bag. Push the cartridge into the empty printer slot until it clicks. Close the cover door when finished.
- Put the expired/empty cartridge into the plastic bag and box that the new cartridge came out of. Label the box “USED” or “EMPTY” and give to the monitor.
Maintenance Box Replacement
- Faculty, staff, and monitors will replace the maintenance box as required. It should be replaced only when full and only when prompted by the printer.
Head Alignment
- Faculty and staff will run a head alignment on the printer when necessary.
