Event Spaces

Library event spaces are intended to be used for educational purposes and the legitimate business of the University of Utah. Current University students, faculty, and staff have priority in the use of library resources, services, and facilities. Public visitors may use these spaces only as participants in University or library-sponsored activities. Scheduling requests can be submitted 120 days prior to the event and no fewer than 5 days before. Theses spaces may only be scheduled by a formally constituted University of Utah college, department, or organization and must be able to provide a valid University chartfield at the time of the scheduling request.

Overview

The Gould Auditorium is a multipurpose even space within the J. Willard Marriott Library, designed to accommodate large gatherings of more than forty people.

Scheduling

  • Request Window: Requests may be submitted no more than 120 days and no fewer than 5 days before the event date.
  • Restrictions: To ensure the Gould Auditorium is properly maintained and prepared for each event, only one event is scheduled per day and one per weekend.
  • Event Timing: All setup time and event activities must begin and end within posted library hours and conclude at least one hour before closing.
    • For events requesting AV recording support, please include the recommended setup and teardown times as listed on the Audiovisual tab.

Fees and Billing

  • Reservation Fee: $400 per event
  • Cancellations: Events canceled less than 24 hours before the scheduled start time will incur a $100 fee.
  • Cleaning: A $200 cleaning fee will be charged if additional custodial services are required beyond standard maintenance.
  • Billing: a billable chartfield must be provided to the Marriott Library before a reservation can be confirmed.

Request Gould Auditorium

Overview

Learning Space is a space designed to seat 40-80 users in a variety of self-service setups. The room is not intended for groups smaller than 40 users.

Scheduling

  • Request Window: Requests may be submitted 120 days in advance.
  • Intended Users: University Department, Registered Student Organizations with a valid University chartfield, and Sponsored Group events
  • Event Timing: All setup time and event activities must begin and end within posted library hours and conclude at least one hour before closing. 

Fees and Billing

  • Reservation Fee: $100 per event that is not a University Course, Library Class, or Library sponsored event. 
  • Cancellations: Events canceled less than 24 hours before the scheduled start time will incur a $100 fee. 
  • Billing: a billable chartfield must be provided to the Marriott Library before a reservation can be confirmed. 

Equipment

The Learning Space is a self-serve space and is equipped with the following:

  • Mobile furniture
  • Podium with built-in microphone
  • 2 projectors and screens connected to presenter PC and HDMI input
  • Stationary camera
  • x wireless handheld microphones (must include in "Audiovisual and technical needs" description on the Classroom/Event Space Request Form to reserve these microphones)

Policies and Responsibilities

  • Event spaces must be reserved to use them.
  • Be respectful of others and remember that spaces are not soundproof.
  • Any patron, including public visitors, must observe all Marriott Library Patron Policies and Responsibilities.
  • Any patron, including public visitors, whose reservations or behaviors violate these policies, may be subject to review, their reservation(s) may be subject to cancellation, and their access to the scheduling system removed.
  • Personal belongings should not be left unattended at any time. If you notice items left unattended, immediately turn them in at the Lost and Found located at the Level 1 Information Desk near the West Entrance.
  • Audio video equipment setup cannot be modified, rearranged, or unplugged without assistance from library employees.
  • Food is permitted in event spaces. Respect the Marriott Library food and drink policies.
  • All waste should be sorted into recycling and landfill containers.
  • If you spill something, please notify a library employee immediately so that we can clean it up quickly.
  • If there is a conflict with your reservation or an issue with the space, contact the Marriott Library Events and Scheduling team or Library Information and Operations at either library entrance desks.
  • For audio visual and technology-related issues, contact the Audiovisual Services Supervisor.
